This Privacy Policy explains how Start AI Cincy (“we,” “us,” and “our”) collects, uses, and protects personal information when you visit https://startaicincy.com/, book a call, submit a form, or engage our AI consulting and training services.
Information We Collect
- Contact details you submit, such as name, email address, phone number, and AI familiarity responses.
- Lead source and campaign context, including UTM parameters and page interaction data.
- Booking details from Calendly, such as event status, appointment time, and invitee metadata.
- Billing and subscription metadata from Stripe (we do not store full card numbers on our servers).
- Technical and analytics data, such as page views, browser/device details, and conversion events for performance measurement.
- Communications data when you email us or respond to service messages (including automated notifications).
- Business scan inputs and generated reports, including the business website and workflow context you provide. AI discovery checks send public category and location queries to OpenAI; private form answers are not part of those queries.
- Optional scan feedback, including your role, whether a recommendation fits your needs, and any note you choose to provide. The feedback form does not collect a new email address.
- Private consultant call notes and outcome records, linked to exact snapshots of the reports and recommendations being discussed.
How We Use Information
- Respond to inquiries and provide requested consulting, training, or follow-up information.
- Schedule and manage assessment intro calls, onboarding steps, and service delivery.
- Process payments, subscription requests, and service billing workflows.
- Improve website performance, ad relevance, and conversion outcomes.
- Review recommendation usefulness and support consulting follow-up using scan feedback and call outcomes.
- Only after you confirm a sharing preview, publish a limited summary through an unlisted link. Anyone with the link can view it. You can disable it from your report; copies others already made cannot be recalled.
- Maintain operational security, prevent abuse, and troubleshoot technical issues.
- Comply with legal, accounting, or regulatory obligations.
Tracking, Analytics, and Advertising
We use analytics and advertising tools, which may use cookies or similar technologies, to understand site usage and measure campaign performance. This includes Google Analytics and Google Ads conversion tracking. You can adjust browser settings to limit cookies, though some features may not function as intended.
Website Suggestions
After you type at least three characters in the website field and pause, we send the website search text to Clearbit and, when needed, SerpAPI to suggest matching domains. This happens before you submit a scan. Suggestions may be cached temporarily. Favicons are loaded from Google using the suggested domains; your browser contacts Google to display them. You can enter a URL without selecting a suggestion.
Report Access
We ask for your email to open your completed scan and associate that email with the report in our private lead records. This does not subscribe you to a newsletter or verify ownership of the email address. A signed, HttpOnly cookie remembers access to that report in this browser for up to 30 days. Clearing cookies may require you to enter your email again.
Scan Feedback and Private Review
Scan feedback uses a respondent cookie that lasts up to 30 days and is renewed when the feedback endpoint sets it again. It helps associate feedback with the same browser so you can retrieve or update your responses. This cookie is HttpOnly, meaning browser scripts cannot read it, and is scoped to the scan feedback endpoint. It does not require an email address. Clearing the cookie may prevent us from recognizing your earlier responses in that browser.
Feedback notes, consultant call notes, outcome records, report snapshots, and identifying information in those records are private review data. They are not published as reviews or shared with other businesses. Access is limited to authorized personnel and service providers needed to operate the service. Please avoid including sensitive personal information in an optional feedback note.

We share data only with trusted providers needed to operate our services, including:
- Vercel (hosting and deployment)
- Supabase (database and authentication)
- Calendly (appointment scheduling)
- Stripe (billing and subscription processing)
- MailerSend and email routing tools (transactional communications)
- Google services (analytics and advertising measurement)
We do not sell personal information.
Data Retention
We retain information for as long as necessary to provide services, maintain records, resolve disputes, and meet legal or tax requirements. Retention periods vary by data type and business need.
